Closing a room and data retention

Closing a room ends the session’s participation without deleting anything. This guide covers what closing does, reopening and duplicating a room, and how long AskOne keeps room data.

Close a room

Select Close room on the room’s console, or in the room’s … menu on the Rooms page, and confirm. Only administrators can close a room. Closing:

Closing does not delete the room, its questions or its survey results, and a closed room no longer counts toward your plan’s open-room limit.

Reopen

Reopen for participants, on a closed room’s console, lets people join, ask, vote and answer again. It continues the same session: the questions, votes and results are all still there. Reopening needs a free open-room slot, keeps the room’s moderation setting and does not relaunch closed surveys. It also applies your organization’s current plan to the room, so an upgrade since the room opened raises its participant limit. A room started without an account, in Zoom, Google Meet or ChatGPT, cannot be reopened unless you first keep it in an organization (below).

Duplicate

Duplicate starts a new session from an old one. The copy is an upcoming room with a new code. It keeps the name, the description, the moderation setting and a draft of every survey, ready to launch again, but none of the start time, questions, votes, participants or answers. You can duplicate a room in any state, and the copy counts toward your 20 upcoming rooms.

Reopen continues a session; Duplicate starts a new one.

What stays readable

Only upcoming rooms can be deleted from the console, with Delete room. A room that has been opened stays readable as described here.

How long room data is kept

Organization rooms

Data in organization rooms, including rooms you kept from Zoom, Google Meet or ChatGPT, carries a retention date of 30 days after the room is closed — and we are straight about the gap in our Privacy Policy: the scheduled job that sweeps expired organization rooms is not running yet, so in the meantime we delete on request, promptly. Ask us at support@productcompass.pm and we will.

Rooms started without an account

A room started without an AskOne account, in Zoom, Google Meet or ChatGPT, closes automatically 48 hours after it opens, unless you close it sooner. Its questions, votes, participant hashes and display names are deleted 7 days after it closes. Cleanup runs every 15 minutes; when no rooms remain, the anonymous workspace and its keyed user hash are deleted too. Before deletion, Sign up to keep your rooms lets you move all your remaining rooms into an organization after creating an account or signing in, and confirming. Their join codes stay the same, the anonymous workspace and its user hash are removed, and the rooms follow the organization retention policy.
